Horizon Link Privacy Policy.

This notice explains how National Horizon Real Estate Services, LLC collects, uses, protects, and retains information within its employee network.

Scope

This policy applies to Horizon Link, its authentication system, and connected employee tools, including reporting, support, learning, compliance, lifecycle, incident, collection, and administrative workspaces.

Information we collect

We may process your name, business contact information, username, role, property assignment, permissions, training status, support and service requests, incident reports, rent-roll files and normalized property records, uploaded materials, workflow records, and security or usage logs. Rent rolls may contain resident names, account identifiers, lease dates, balances, and unit information; this data is accepted only through the protected property-data workflow and is not displayed publicly.

How information is used

Information is used to authenticate users, apply access permissions, operate employee workflows, route requests, document decisions, measure training and compliance, improve services, investigate security concerns, and meet legitimate business or legal obligations.

Sharing and service providers

Information may be shared with authorized National Horizon personnel and vendors that support hosting, authentication, email delivery, training, security, or other approved business functions. It is not made publicly available through Horizon Link.

Security and access controls

Horizon Link uses account authentication, role, workspace, and property-level permissions, session controls, administrative oversight, and activity logging. A user may access property records only for communities assigned by an administrator; administrators may grant or revoke one or multiple community assignments. Grace Hill records are visible to the employee, designated administrators, and supervisors selected through the shared supervised-employee roster. Users are responsible for protecting their credentials, signing out of shared devices, and promptly reporting suspected misuse.

Retention and archives

Records are retained for the time reasonably needed for the workflow, company policy, security, audit, employment, operational, or legal requirements. Some completed requests may move to an archive while remaining available to authorized administrators.

Your choices and corrections

You may ask for help correcting inaccurate account or profile information. Workspace access is determined by job responsibilities and administrator assignment. Requests involving personnel records are handled through Human Resources and applicable company procedures.

Fair housing and nondiscrimination

Horizon Link must be used consistently with fair housing requirements and National Horizon policies. Nothing in this network authorizes discriminatory treatment, steering, retaliation, or the inappropriate use of protected-class information.
